Privacy Policy
Your privacy matters. This policy explains what information we collect, why we collect it, and what we do with it.

Who we are
The Arena Convention is a two-day board game and hobby gaming convention taking place at the Mountain View Event Center in Pocatello, Idaho on June 18 and 19, 2027. In this policy "we," "us," and "our" refer to the convention organizers. If you have privacy questions, email us at thearenaconvention@gmail.com.
Information we collect
We only collect information you provide directly. We do not buy data, scrape data, or use third-party tracking pixels.
- Email signups. Email address, the page you signed up from, the date and time, and your IP address.
- SMS signups. Phone number, your consent timestamp, your IP address, and a confirmation code we use to verify the number is real.
- Vendor applications. Business and contact details, products you intend to sell, photos of your merchandise, booth preferences, and any other fields you complete on the application form.
- Sponsor inquiries. Business and contact details, sponsorship tier interest, opportunities you're interested in, and any notes you provide.
- Contact form messages. Your name, email, subject, and message.
- Ticket purchases (when sales open). Name, email, billing address, and payment information processed by our payment provider (Stripe). We do not store your full payment card on our servers.
How we use your information
- Send you the email or text updates you signed up for (event news, ticket waves, schedule reveals).
- Review and respond to vendor, sponsor, and contact submissions.
- Process ticket orders and send order confirmations.
- Operate, maintain, and secure the website.
- Comply with legal obligations.
Who we share information with
We do not sell or rent your information. We share it only with the limited set of service providers we need to operate the convention:
- Payment processing. Stripe processes ticket payments. Their privacy policy is at stripe.com/privacy.
- Email and SMS delivery. Our email and SMS providers handle the technical delivery of messages you've subscribed to.
- Hosting and infrastructure. Standard web hosting providers that store our application data.
- Legal compliance. When required by law or to protect our rights, attendees, or the public.
How long we keep it
Email and SMS subscribers stay on our list until they unsubscribe. Vendor and sponsor records are retained for the lifetime of the convention's planning cycle plus three years for our accounting records. Contact form messages are kept until they are handled and then archived. Anonymized analytics data may be retained indefinitely.
Your rights
- Unsubscribe. Every email has an unsubscribe link. Reply STOP to any text to opt out of SMS.
- Access. Email us and we will tell you what data we have about you.
- Correction or deletion. Email us and we will update or delete your data on request, unless we are legally required to keep it.
Children
The Arena Convention is a family event. We do not knowingly collect personal information from children under 13 through this website. If you believe we have collected information from a child under 13, please contact us and we will delete it.
Cookies and tracking
We use a session cookie to keep you logged into the admin area (if you have an account) and an Open Graph image fetch token. We do not use third-party advertising trackers. We may add a privacy-respecting analytics tool in the future and we will update this policy if we do.
Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top of the page reflects the most recent change. Material changes will be announced via the email list.
